The Administrative Assistant will be responsible for the following:
Provide administrative support for department and facility.
Manage facility front door reception duties.
Maintain and manage calendars to schedule meetings internally and externally worldwide.
Schedule day-to-day intra and inter departmental meetings/appointments and make appropriate reservations for facilities, equipment, etc.
Coordination of travel arrangements (including air, rail, car and hotel) for VP, direct reports, and other functional leaders in the facility.
Preparation (gathering, collating and organizing), distribution and filing of weekly, monthly, quarterly and annual reports, presentations and documents.
Prepare and maintain Word, Excel, Visio and Power Point documents and presentations, as well as Organizational Charts for the department.
Complete registrations for professional meetings, seminars and workshops.
Maintain and order office supplies for department and facility use.
Manage facility office mail.
Manage phones, as needed.
Responsible for New Employee Set-up (e.g. preparing and submitting New Employee form to GAC, preparation of Training File folder)
Use problem analysis and project management skills to complete projects as assigned.
High school education, college degree preferred.
Minimum of 5-7 years of administrative experience, executive level preferred.
Must be proficient in Microsoft Office Suite of applications and have very good written and oral communication skills.
Must be able to multi-task and be a self-starter.
Must be able to support multiple stakeholders.
High attention to detail with an emphasis on timely and accurate work products.
Must be able to maintain confidentiality.
